Terms and Conditions
Making a booking
By making a booking you are entering into a legally binding contract, before doing so you are advised to read these terms and conditions carefully, and be aware of our cancellation policy, all booking accepted shall be subject to these term and conditions.
Bookings will only be considered as confirmed after a non refundable deposit of £20.00 per person has been received, Please Note where a one night booking is made full payment for that booking will be required, all deposits shall be made via debit/credit card either at time of booking, or within seven days of a provisional booking. Where a provisional booking has been made and a deposit has not been received within the specified time the booking will automatically be cancelled and the room re-let.
All bookings will be confirmed by us either by email (if an email address has been provided) or by post.
Bookings made within 48 hours of the arrival date will be subject to full payment via debit/credit card at time of booking.
We will only accept bookings from families and couples only (same sex couples accepted), WE DO NOT ACCEPT STAG & HEN PARTIES, It should be noted that mixed groups who book individually as couples will be turned away with loss of deposit and without entitlement of compensation. Unless you have made it known to us that you are a group.
Bookings will only be accepted from persons of 18 years and over. The person making the booking shall be responsible for the booking and must be a member of the attending party.
All accommodation is offered subject to availability at the time of receipt of the deposit, and at the tariffs applicable according to season.
Meal times are pre-arranged and no allowance will be made for meals not taken.
The Parkfield Hotel operates a minimum two-night policy for bank holiday weekends and all weekends during the illuminations.
Subletting / Selling On
Once a reservation has been made, the person making that reservation is legally liable for all payments which relate to it. It is therefore strictly forbidden to sublet or resell that reservation through any third party media such as Ebay or Gumtree etc.
Any attempt to do so will result in the reservation being cancelled with loss of all monies paid. Any booking agents involved such as bookings.com etc. will also be informed, which could result in a ban from their site being imposed upon you.
Check in – Check Out
You can check in anytime after 11.00am, however it is likely your room will not be ready until 2.00pm, should this be the case we can store your luggage for you until your room has been prepared. On day of departure please vacate your room by 10.00am, this gives us time to prepare it for new arrivals, Should you wish to depart later in the day we can again store your luggage for you to collect later, (subject to prior arrangement). Please note valuables are left at your own risk, the proprietors accept no responsibility for loss or damage to guest property, unless handed in for safekeeping.
Fire regulations mean you will be required to complete a registration form when you check in, you are also required to make yourself familiar with the Parkfield Hotel’s emergency evacuation procedures in the event of a fire.
Children
Well-behaved children are welcome at the Parkfield Hotel however parents are requested and expected to supervise their children at all times. Our Hotel is not a playground for children to run around in, there will most probably be other guests staying in the Hotel, so this behaviour is not acceptable and will not be tolerated.
Children are allowed in the bar area but again only under supervision. We would respectfully ask that you do not allow your child to fall asleep in the bar as this restricts the use of the seating for other guests.
Towels
Towels are provided for each room, however we do Not provide our towels for use when removing makeup, for use when dying your hair, mopping up vomit!! or to take to the beach, if this is what you intend to do then please bring your own.
Smoking
Under the law, it is illegal to smoke in any part of the hotel, anyone found smoking will be asked to leave, no refunds will be given, and any amounts outstanding will be due.
It should also be noted that in the event of any person found smoking, or any evidence of smoking found IE butt ends, ash, or smell of smoke in the room including bathroom a deep cleaning charge of £75.00 will also be charged.
Drugs
Anyone found in possession of or taking any illegal substance will have their stay terminated and the matter will be reported to the police without exception.
The Bar
Our licence allows us to sell alcohol to residents only (over 18s only), hotel residents who wish to bring guest’s in may do so with prior consent with the proprietors but must purchase any drinks for them, residents are not permitted to take their guest’s to their rooms. Drinks from the bar are not permitted in the rooms.
Guests are not permitted to bring their own alcohol into the hotel. As we are a licenced premises it is not permitted to bring your own on to the premises. If we find alcohol in your room you will be asked to remove it, failing to do so may result in you being asked to leave.
Our licence also specifies that we must provide an alcohol free area (dry zone) where intoxicating liquor must not be consumed, for this purpose the main TV Lounge has been designated as a dry zone. Alcohol may not be consumed in this area.
We respectfully request that you do not bring takeaway Food or Drink of any description on to the premises.
Payment
We ask that you pay any balance on the day of arrival via cash, debit or credit card after you have satisfied yourself you will be comfortable during your stay with us.
Guest’s wishing to settle by cheque may do so, however the cheque should be received no later than 7 days prior to your arrival.
Cancellation
It is your right to cancel your booking with the Parkfield Hotel at any time. However if we have reserved a room for you and declined other potential bookings because of your reservation it is fair that we retain your deposit.
Cancellations made up to 48 hours of arrival date will incur loss of deposit only, cancellations within 48 hours of arrival will incur the first night’s accommodation tariff, cancellations on day of arrival or “No shows” will incur the full tariff as quoted at the time of booking for the whole of the intended stay. This will be charged to the debit/credit card used for the deposit at the time of booking. An early check-out is also considered as a cancellation, in this event any outstanding balance will be payable.
It is recommended that you take out holiday insurance cover.

Please note: bookings made via agencies such as Hotels.com, laterooms.com etc. MUST be cancelled though the same agencies you used to make the booking.
The proprietors reserve the right to amend, curtail or terminate any contract if at any time in their opinion the behaviour and/or conduct of any guest who is a party to that contract cause any detriment to the well being or comfort of other guests. In this event you will be asked to leave without entitlement to compensation.
Damages
Guests shall be held responsible for any damages, any damage no matter how caused shall be paid for by the person whose name appears on the booking and registration form. If you leave without reporting any damages the damage will be viewed as wilful, photographic evidence shall be taken and the damages will also be reported to the police, we will pursue the matter to conclusion. We will charge the cost of any damages (for replacement not for repair) to the debit/credit card used to pay the deposit for your booking. Tampering with emergency systems such as the fire alarm, emergency lighting and the fire extinguishers will be viewed as wilful damage and will be reported to the police without exception.

We appreciate your business and are keen to learn ways we can improve. We are confident that you will find everything to your satisfaction, however in the unlikely event you are not delighted about any aspect of our service we would like to know. You are encouraged to speak to us directly so we can put any problem right immediately.
These Terms and Conditions are subject to change without notice and will be applied to all bookings received on or after 1st November 2006.
